South Coast Food Fair – Exhibitor Terms & Conditions
These Terms & Conditions apply to all exhibitors participating in the South Coast Food Fair 2026 to be held at the Nowra Golf Club on the 8th September 2026 (“the Event”), hosted by V&C Foods Pty Ltd (“the Organiser”).
By submitting an exhibitor registration, the Exhibitor agrees to the following terms.
1. Event Details
The Event will be held on the date, at the venue, and during the times advised by the Organiser. The Organiser reserves the right to make reasonable changes to event details where required.
2. Exhibitor Registration & Acceptance
- All exhibitor applications are subject to acceptance by the Organiser.
- The Organiser reserves the right to refuse or cancel an exhibitor’s participation at its discretion, including where the exhibitor’s products or conduct are not aligned with the objectives of the Event.
3. Fees & Payment
- Exhibitor & Major Sponsor fees are as outlined on the registration form.
- Payment must be made in full by the 31st July 2026 to secure a stand.
- Late or unpaid fees may result in cancellation of the booking.
4. Cancellations & Refunds
- If an exhibitor cancels their participation within 2 weeks of the Event, the exhibitor will forfeit 100% of the exhibitor fee
- If a major sponsor cancels their participation within 2 weeks of the Event, the major sponsor will forfeit 50% of the Major Sponsor fee
- If the Event is cancelled or postponed due to circumstances beyond the Organiser’s reasonable control (including but not limited to venue issues, weather events, government restrictions, or force majeure), the Organiser’s liability is limited to a refund of fees paid (excluding any costs incurred by the exhibitor).
5. Stand Allocation & Use
- Stand locations and sizes are allocated by the Organiser and may be subject to change.
- Exhibits must remain within the allocated stand space and not obstruct aisles or neighbouring stands.
6. Set-Up, Pack-Down & Operations
- Exhibitors must comply with set-up and pack-down times provided by the Organiser.
- All stands must be fully staffed and operational during Event trading hours.
- Early pack-down without approval is not permitted.
7. Products, Sampling & Food Safety
- Exhibitors are responsible for ensuring all products displayed, sampled, or sold comply with applicable laws, including food safety, labelling, and council requirements.
- Any required permits, licences, or certifications remain the responsibility of the exhibitor.
- The Organiser may require proof of compliance upon request.
8. Insurance & Liability
- Exhibitors are strongly encouraged to hold appropriate public liability insurance for the duration of the Event.
- Exhibitors participate at their own risk. The Organiser accepts no responsibility for loss, theft, or damage to exhibitor property, equipment, or stock.
9. Conduct & Compliance
- Exhibitors must conduct themselves in a professional and courteous manner at all times.
- The Organiser reserves the right to remove any exhibitor who engages in unsafe, unlawful, or inappropriate behaviour, without refund.
10. Marketing & Promotion
- The Organiser may use exhibitor business names, logos, and product images for Event marketing and promotional purposes.
- Exhibitors consent to photography and video taken at the Event being used for promotional or reporting purposes.
11. Indemnity
The exhibitor agrees to indemnify and hold harmless the Organiser, venue, and associated parties from any claims, damages, or liabilities arising from the exhibitor’s participation, products, or conduct at the Event.
12. Governing Law
These Terms & Conditions are governed by the laws of New South Wales, Australia, and the parties submit to the exclusive jurisdiction of its courts.
13. Acceptance
Submission of an exhibitor registration form and/or payment of fees constitutes acceptance of these Terms & Conditions.
